How to create a Workflow Diagram

To create a workflow diagram, follow these steps:

Identify starting point
Define where work enters your process (e.g., new idea submission, customer request, project kickoff).

List stages
Map out each major phase work moves through from start to finish, including research, evaluation, approval, and execution.

Determine decision points
Clearly specify where choices are made and what criteria determine which path to take next.

Create nodes
Add shapes for each step — rounded boxes for start/end points, rectangles for actions, diamonds for decisions.

Add connection arrows
Use arrows to show the flow between stages, labeling decision branches clearly (YES/NO or specific conditions).

Map all possible paths
Include what happens when work is approved, rejected, or needs more information — show loops back to earlier stages if needed.

Review & share
Share the diagram for process alignment, training new team members, identifying bottlenecks, or improving efficiency.
